Step-by-Step Instruction Article: Using the Clio 3.0 Integration

 

Step 1: Accessing the Integration

  • Begin by opening your web browser and navigating to the login pages of both your AltFee and Clio accounts.
  • Log in to both accounts using your unique credentials.
  • Open the existing guideline in AltFee to create new matter and integrate it with Clio for efficient project management and billing.

Step 2: Creating a New Matter

  • In AltFee, create a new matter for a client who is already listed in both AltFee and Clio Manage (ex. Bernie).
  • Specify the type of work for this new matter (ex. corporate work).

Step 3: Scoping and Pricing

  • Within the new matter, scope the work and add specific projects (ex. shareholder agreement).
    • The scoping process within AltFee will remain the same!
  • Determine the Descriptions of Services applicable to each project for invoicing purposes.

Step 4: Connecting to Clio

  • In AltFee, choose to connect the matter to Clio for billing purposes.
  • Instead of just exporting the data to Clio, you now have the option to connect and view the existing matters for a specific client in Clio Manage.
  • Select the relevant matter in Clio that corresponds to the work you are managing in AltFee.

Step 5: Confirming the Connection

  • Review the list of projects, dollar amounts and selected Descriptions of Services that you are about to sync with Clio.
  • Connect the matter to Clio and you will receive a confirmation that the integration has been successfully set up.

Step 6: Viewing the Result in Clio

  • Switch to Clio to see the individual projects (ex. incorporation, shareholder agreement) recorded as flat fee activities.
  • Once in Clio, switch into “Matters” and then “Activities” to see that these will be recorded as flat fees.
  • Verify the descriptions of services have been imported from AltFee.

Step 7: Invoicing and Billing

  • Access the invoice in Clio where the descriptions and dollar amounts are reflected.
  • Review the invoice with bullet points and project names generated from AltFee.
  • The dollar amounts that are scoped and priced in AltFee will be directly reflected in the bill that is produced by Clio.

Step 8: Tracking Status

  • Monitor the Clio status of the matter, which may progress from “Unbillable” to “Draft” to “Invoice”.
  • Note that projects will be locked in AltFee and cannot be edited once they reach “Draft” status in Clio. This is for consistency amongst the two platforms.

Step 9: Consistency and Disconnecting

  • Maintain consistency between AltFee and Clio by locking projects in AltFee once they are in draft form in Clio.
  • If changes are required, you can disconnect from Clio, work on the matter in AltFee and subsequently reupload to Clio.

Congratulations! You have successfully integrated your AltFee account with Clio.
